Hello Fall – Time for a congress
On 24 and 25 September, the nice:-) team looked after a medical congress and was able to score points with its experience in the implementation of events!
In this way, a digital event became a live congress as we all know it – including entertainment and networking!
Our planning started in spring 2021 and from the very beginning it was clear said by the client, that it would not be a purely digital event.
The focus was on the exchange of knowledge
Our client decided on an “all-round carefree package” as the location, namely the Ruhrturm in Essen. A venue that offers both meeting rooms and an area for evening events with a lounge character. With its proximity to the A40 and A52 motorways, the location ensures a pleasant and easy arrival.
On more than 2,000m² of barrier-free space, there are many rooms and halls that are ideally suited for conferences. The adjoining conference hotel gave our guests the opportunity to book a hotel room as needed, saving them a time-consuming journey.
The theme of the congress was the treatment and diagnosis of the disease lipedema. Many expert lectures contributed to an interesting content. Therefore, less exciting show acts were required. Rather, it required perfect technology and a smooth sequence of external speakers.
Live broadcasts from the operating theatre provided a wow effect for the guests.
Our “preferred partner” Schallmeister GmbH was responsible for the technology. The tried and tested cooperation with our colleagues in the technical department helped to ensure that all interfaces worked hand in hand. It is precisely these sources of error that must be avoided when different trades cooperate. Set-up, supervision of the dry runs, communication with the customer. Everything went as planned and ensured a safe feeling not only for us but also for our client.
As a special highlight for the participants, there was a live broadcast from the Ruhrturm to the operating theatre of the LipoClinic in Mülheim directly on the first day. This gave the guests the opportunity to participate in a liposuction as spectators. The operation was professionally commented and explained on site by the doctors present in the operating room. This was an important insight into the treatment, especially for the prospective patients who had been invited to this event by the LipoClinic in advance.
During the individual breaks, the guests had the opportunity to take a walk through the exhibition of the sponsors and to inform themselves about various product and technology developments.
A communicative finale on the evening of the first day of the congress: to round off the event at the lounge bar on the ground floor, a DJ provided a relaxed atmosphere for the respective VIP guests. This was accompanied by a flying dinner, which rounded off the evening perfectly.
A challenge – the Corona guidelines
In the spring of 2021, no one knew how the Corona pandemic would develop heading into the autumn. In this respect, there was a challenge for everyone involved to deal with and plan for constantly changing Corona protection orders. Not only the ongoing adjustments, but also a slight uncertainty on the part of the invited guests required clear and ever-changing communication measures.
Our answer to this issue: a “Weekly” was established. A weekly video call with our client.
Here, important status updates in particular were commented on, which made it possible to react quickly and find solutions in a timely manner.
Our customer service in the form of “Weeklies” is another nice:-) tool to guarantee a smooth process during project implementation.
Final decision towards the end of the planning: The event should take place exclusively live!
As the organisation progressed, the client emphasised again and again that he would prefer a live event. Initially, an additional streaming was planned to enable a larger group of participants to watch the event. In the end, our client decided against this in order not to diminish the value of the live participation.
For us this was an understandable step and a courageous statement on the part of the client. The success of the live event proved him right.
Through the interpersonal communication of a sensitive topic, which was only possible in this form on site, the congress could only win.
“We have to set an example again this year. We are doing a presence congress. Where people have said […] that will never work anyway. Look, here we are!” was Dr Heck’s welcome at the beginning of the first day.
